Congregant Privacy

ChurchTrakr provides software that churches use to manage information about their members, attendees, guests, donors, volunteers, families, and others connected with their ministries.

If your church uses ChurchTrakr, it may use our software to maintain information about you or your family.

This Congregant Privacy notice explains, in plain language, the relationship between you, your church, and ChurchTrakr.

For more detailed information about ChurchTrakr’s privacy practices, please review the ChurchTrakr Privacy Policy.

1. Your Church Uses ChurchTrakr

ChurchTrakr LLC (“ChurchTrakr,” “we,” “us,” or “our”) provides church management software to churches and ministries.

Your church may use ChurchTrakr for activities such as:

• Maintaining member and guest information;
• Managing households and families;
• Recording attendance;
• Managing child check-in;
• Managing groups and classes;
• Managing events and registrations;
• Scheduling volunteers;
• Sending email and text messages;
• Managing donations and giving records;
• Providing an online church directory;
• Providing forms;
• Operating workflows and follow-up processes; and
• Providing a church portal for members and guests.

Your church decides which ChurchTrakr features it uses.

2. Your Church Controls Its Records

The most important thing to understand is:

Your church generally controls the information it maintains about you in ChurchTrakr.

ChurchTrakr provides the software and technology used to store and process that information.

Your church determines things such as:

• What information it collects about you;
• Why it collects that information;
• Who within the church may access it;
• Whether you are considered a member, attendee, guest, volunteer, or other participant;
• Which groups or classes you belong to;
• What attendance information it maintains;
• What communications it sends;
• Whether it offers a church directory; and
• How it uses information for its ministry and operations.

ChurchTrakr does not independently make those decisions for your church.

3. Information Your Church May Maintain

Depending upon how your church uses ChurchTrakr, its records about you may include information such as:

• Your name;
• Email address;
• Telephone number;
• Address;
• Photograph;
• Birthday or date of birth;
• Household and family relationships;
• Membership information;
• Attendance;
• Groups and classes;
• Event registrations;
• Volunteer participation;
• Volunteer schedules and availability;
• Giving and donation history;
• Forms you submit;
• Communication preferences;
• Tags or lists used by the church;
• Church directory information; and
• Other information you provide to the church or the church maintains as part of its operations.

Not every church uses every feature, and not every church maintains all of this information.

4. Information You Provide Through Your Church Portal

Your church may provide you with access to a ChurchTrakr-powered portal.

Depending upon the features your church enables, you may be able to use the portal to:

• View or update your profile;
• Manage certain contact information;
• Make a donation;
• Review giving information;
• Register for events;
• Submit forms;
• View groups or classes;
• Manage volunteer activities;
• Enter volunteer blockout dates;
• Respond to invitations;
• Participate in your church directory; and
• Access other information provided by your church.

Information you submit through your church’s portal generally becomes part of the information maintained by your church through ChurchTrakr.

5. Church Directory

Your church may choose to offer an online directory through ChurchTrakr.

The directory is intended to help people within a church community connect with one another. It is not intended to create a public Internet directory of church members.

ChurchTrakr is designed so that directory participation can be controlled by the church and the individual.

If your church makes you eligible for its directory, you may be invited to participate.

You may be able to choose which information you want to share, such as:

• Your photograph;
• Email address;
• Mobile telephone number;
• Address;
• Birthday; and
• Other information supported by the directory.

Being present in your church’s ChurchTrakr records does not automatically mean that all of your information should appear in the church directory.

Your church controls whether the directory feature is available, and your available privacy choices control the information you choose to share through it.

6. Children and Families

Churches often need information about children for legitimate ministry purposes such as:

• Child check-in and check-out;
• Sunday School or classes;
• Events;
• Attendance;
• Family and household relationships; and
• Emergency or safety procedures.

ChurchTrakr allows churches to maintain this information.

ChurchTrakr does not intend for children under 13 to independently create ChurchTrakr portal accounts or directly provide personal information to ChurchTrakr.

ChurchTrakr portal accounts are intended for individuals age 13 or older.

Information about children under 13 should be provided or managed by a parent or legal guardian or by authorized church personnel, as appropriate.

If you are a parent or guardian and have a question about information your church maintains about your child, contact your church.

7. Donations and Giving Information

If you make a donation through a ChurchTrakr-powered giving page, information about the donation may be maintained in your church’s ChurchTrakr account.

This may include information such as:

• Your name;
• Donation amount;
• Date;
• Fund or designation;
• Transaction status;
• Payment method type;
• Recurring-giving information; and
• Giving history.

ChurchTrakr may use a third-party payment processor such as Stripe to process electronic payments.

Complete credit or debit card information is generally processed directly by the payment provider rather than stored by ChurchTrakr.

Your church may use ChurchTrakr giving records for purposes such as contribution records, donor statements, accounting, and financial administration.

8. Email From Your Church

Your church may use ChurchTrakr to send you email.

ChurchTrakr may use an email-delivery provider such as Resend to deliver these communications.

ChurchTrakr and its service providers may process your email address and information necessary to deliver the message.

The church determines which church communications it sends to you.

Where an unsubscribe option applies, you should be able to use the provided unsubscribe method or contact your church regarding your communication preferences.

Some communications related to your account, transactions, registrations, volunteering, security, or other requested activities may be transactional rather than promotional.

9. Text Messages From Your Church

Your church may use ChurchTrakr to send SMS/text messages.

ChurchTrakr uses telecommunications providers such as Twilio to provide this functionality.

Your church is responsible for obtaining appropriate consent before sending you SMS messages.

If you agree to receive text messages:

• Message frequency may vary.
• Message and data rates may apply.
• You may reply STOP to opt out.
• You may reply HELP for assistance.
• Your consent to receive text messages is not a condition of making a donation or purchasing a service.
• Wireless carriers are not liable for delayed or undelivered messages.

Your mobile information will not be sold or shared with third parties or affiliates for their marketing or promotional purposes.

Your SMS opt-in information and consent will not be sold or shared with third parties or affiliates for their marketing or promotional purposes.

ChurchTrakr may provide your telephone number, message information, and related data to service providers such as Twilio as necessary to deliver and support the messaging service.

10. ChurchTrakr Does Not Sell Your Congregant Information

ChurchTrakr does not sell information your church maintains about you to advertisers or data brokers.

We do not sell:

• Church membership information;
• Giving information;
• Attendance information;
• Volunteer information;
• Information about children;
• Family information;
• Church directory information;
• Mobile telephone information; or
• SMS opt-in and consent information.

We also do not use your church’s records about you to build advertising profiles for unrelated third-party advertisers.

11. Who Can See Your Information?

Who can see information maintained by your church depends primarily upon how your church configures and uses ChurchTrakr.

Authorized church staff or other authorized users may have access based upon the permissions assigned by the church.

Some information may also be visible to you through your portal.

If you voluntarily participate in your church directory, information you choose to share may be visible to other people who have appropriate access to that directory.

ChurchTrakr personnel and service providers may access or process information when reasonably necessary to:

• Provide the Services;
• Provide customer support;
• Resolve technical problems;
• Maintain security;
• Prevent fraud or abuse;
• Operate requested features; or
• Comply with applicable law.

12. Service Providers

ChurchTrakr uses technology companies to help provide the Services.

Depending upon which ChurchTrakr features your church uses, these providers may include companies that provide:

• Cloud infrastructure;
• Payment processing;
• Email delivery;
• SMS/text messaging;
• Security;
• Application monitoring; and
• Other technology services.

These providers may process information as reasonably necessary to provide their services to ChurchTrakr.

They are not authorized by ChurchTrakr to take your church’s congregant information and use it for their own unrelated marketing.

13. QuickBooks and Church Accounting

Your church may choose to connect ChurchTrakr with QuickBooks Online.

If it does, authorized financial information may be transmitted between ChurchTrakr and QuickBooks to support the church’s accounting activities.

For example, your church may send accounting information associated with a giving batch from ChurchTrakr to QuickBooks.

ChurchTrakr does not sell information obtained through a QuickBooks integration or use it for advertising.

14. Keeping Information Secure

ChurchTrakr uses reasonable administrative, technical, and organizational safeguards intended to protect information maintained through our Services.

These measures may include:

• User authentication;
• Access controls;
• Role-based permissions;
• Encryption of information in transit;
• Infrastructure security;
• Monitoring;
• Logging; and
• Backups.

No Internet-based system can guarantee absolute security.

Your church is also responsible for determining who can access its ChurchTrakr account and for appropriately managing its users and permissions.

You should protect your own ChurchTrakr portal password and should not share your login credentials with other people.

15. Correcting Your Information

If information your church maintains about you is incorrect, you may be able to update certain information directly through your church portal.

For information you cannot change yourself, contact your church.

For example, you should generally contact your church if you want to:

• Correct your name;
• Change your contact information;
• Correct household or family information;
• Ask about membership information;
• Ask about attendance records;
• Ask about giving records;
• Correct information concerning your child; or
• Ask about another record maintained by the church.

Because your church controls its records, ChurchTrakr ordinarily cannot independently change church records without the church’s involvement.

16. Deleting Your Information

If you want information maintained by your church to be deleted, contact your church.

The church determines whether particular records can or should be deleted, subject to its legal, financial, ministry, safety, and recordkeeping obligations.

For example, a church may need to retain certain donation or financial records even after other information is removed.

ChurchTrakr will reasonably assist Customers with appropriate deletion requests when required.

17. Leaving a Church

If you stop attending a church, your information may not automatically disappear from that church’s ChurchTrakr account.

The church may retain records for legitimate reasons, including:

• Historical membership records;
• Giving records;
• Accounting;
• Attendance history;
• Volunteer history;
• Safety;
• Legal obligations; or
• Other legitimate church recordkeeping purposes.

Questions about how long a particular church maintains your records should be directed to that church.

18. Closing a Portal Account

Closing or disabling your portal access does not necessarily delete the information your church maintains about you.

A portal account gives you access to certain ChurchTrakr features. The church’s underlying records about you are separate from your ability to log into the portal.

If you want the church to delete or change its underlying records, contact the church directly.

19. Your Church’s Privacy Practices

Your church may have its own privacy policy, membership policies, giving policies, child-safety policies, or other practices that apply to information it collects.

Those policies are established by the church, not ChurchTrakr.

You should contact your church if you have questions about how the church itself uses information about you.

20. ChurchTrakr’s Privacy Policy

This Congregant Privacy notice is intended to make ChurchTrakr’s role easier to understand. It does not replace our complete Privacy Policy.

The ChurchTrakr Privacy Policy provides additional information about:

• Information we process;
• Service providers;
• Payment processing;
• SMS and email;
• QuickBooks integration;
• Security;
• Data retention;
• Data deletion;
• Privacy requests; and
• Other ChurchTrakr privacy practices.

If there is a conflict between this Congregant Privacy notice and the ChurchTrakr Privacy Policy regarding ChurchTrakr’s legal privacy obligations, the Privacy Policy controls.

21. Changes to This Notice

ChurchTrakr may update this Congregant Privacy notice as our Services, technology, or privacy practices change.

When we update it, we will revise the effective date at the top of this page.

Material changes may also be communicated through our website, Services, or another reasonable method.

22. Questions About Information Held by Your Church

If your question concerns information a church maintains about you or your family, please contact your church first.

Your church is generally the organization that determines what information it maintains in ChurchTrakr and how that information is used.

This includes questions about:

• Your profile;
• Your family;
• Your child;
• Membership;
• Attendance;
• Giving;
• Groups;
• Classes;
• Events;
• Volunteering;
• Church directory participation; and
• Church communications.
